Welcome to Philippine Campers! These Terms and Conditions govern the use of our website, services, and camper rentals. By booking with us or using our website https://philippinecampers.com, you agree to these terms.

If you do not agree with any of these terms, please do not use our services.


1. General Rental Conditions

1.1 Eligibility & Driver Requirements

  • Age Requirement: Renters must be at least 21 years old to rent a camper.

  • Driver’s License:

    • Domestic Renters: Must hold a valid Philippine driver’s license.

    • Foreign Renters: Must present a valid driver’s license written in English or accompanied by an International Driving Permit (IDP) if the original license is in a non-English language.

  • Authorized Drivers: Only individuals listed on the rental agreement are permitted to drive the vehicle.

  • Security Deposit: A ₱20,000 security deposit is required before the rental period begins.


1.2 Rental Period & Extensions

  • Minimum Rental Duration: The minimum rental period is 3 days.

  • Vehicle Return Time: Vehicles must be returned by 6:00 PM on the agreed return date.

  • Late Returns:

    • Returns beyond 2 hours of the scheduled return time will incur an additional full day’s rental charge.

    • A 30-minute grace period is allowed; beyond this, late fees apply.

  • Extensions: Requests for rental extensions must be made at least 24 hours before the end of the current rental period and are subject to vehicle availability.


1.3 Vehicle Specifications & Fuel Policy

  • Fuel Type: All vehicles operate on diesel fuel. Using an incorrect fuel type may result in significant damage, for which the renter will be held responsible.

  • Fuel Policy:

    • Vehicles are provided with a full tank of diesel at the start of the rental.

    • Renters must return the vehicle with a full tank.

    • If returned with less than a full tank, the renter will be charged for the missing fuel plus a ₱1,000 refueling fee.

  • Passenger Capacity: Each camper is designed to accommodate a maximum of 4 passengers. Exceeding this limit may result in penalties and void insurance coverage.

2. Rental Prices & Payment Terms

2.1 Pricing & Discounts

Our rental rates are based on the duration of the rental period:

  • 3-6 Days: ₱8,990 per day
  • 7-13 Days: ₱8,490 per day
  • 14+ Days: ₱7,990 per day

Discounts & Promotions:

  • Long-term rental discounts may apply for rentals exceeding 30 days (inquire for special rates).
  • Promotional discounts or seasonal offers will be announced on our website and social media.

2.2 Payment Methods

We accept payments via:

  • Credit/Debit Card (Visa, Mastercard)
  • PayPal
  • GCash
  • Bank Transfer

📌 Important Payment Terms:

  • Payments must be made in full before the rental period begins.
  • Bank transfer payments must be completed at least 48 hours before vehicle pickup to allow for verification.
  • Any transaction fees incurred for international payments are the responsibility of the renter.
  • The vehicle is not guaranteed until full payment has been received. Unpaid reservations may be canceled without notice.
  • Last-minute bookings (within 48 hours of pickup) require proof of payment before confirmation.
  • Cancellations & No-Show Policy:
    • Cancellations made 7+ days before pickup: Full refund
    • Cancellations made 3-6 days before pickup: 50% refund
    • Cancellations less than 72 hours before pickup: No refund
    • No-shows without notice: No refund, and the vehicle may be rebooked.

2.3 Security Deposit & Refunds

  • A ₱20,000 security deposit is required before the rental starts.
  • The security deposit will be processed for refund after 7 business days to allow for:
    • A full inspection of the vehicle to assess any damages or missing equipment.
    • Verification of any pending traffic fines, toll charges, or penalties incurred during the rental period.
  • Refund Timelines After Processing:
    • Credit/Debit Card: Release time depends on the issuing bank (typically 5-14 business days).
    • GCash & Bank Transfer: Refunds are sent via the same payment method within 3-5 business days after processing.
  • If deductions are necessary, a detailed breakdown of the charges will be provided to the renter.
  • If unpaid fines, damages, or missing equipment exceed the deposit amount, the renter is responsible for paying the difference.

3. Cancellation & Refund Policy

  • Cancellation & Refund Policy

    • 7+ Days Before Pickup: Full refund minus payment processing/transfer fees.
    • 3-6 Days Before Pickup: 50% refund minus payment processing/transfer fees.
    • Less than 72 Hours Before Pickup: No refund.
    • Force Majeure (Natural Disasters, Flight Cancellations): Free rebooking within 12 months based on availability.
    • Early Returns: No refunds for unused rental days if the camper is returned earlier than booked.
    • No-Shows: If the renter does not pick up the camper within 24 hours of the scheduled pickup time and has not contacted us, the booking will be considered a no-show, and no refund will be issued.
    • Modifications & Rescheduling:
      • Up to 7 days before pickup: Free date change (based on availability).
      • Less than 7 days before pickup: One-time rebooking for a ₱3,000 rebooking fee (subject to availability).
    • Refund Processing: All refunds will be issued minus any non-refundable payment processing or transfer fees.

4. Vehicle Use & Restrictions

4.1 Permitted Use

  • The vehicle is strictly for personal, leisure, or tourism purposes.
  • Pets are allowed, but renters must ensure the camper is returned clean.
  • The vehicle may only be used within Luzon and Mindoro. Any travel to additional islands requires prior approval from Philippine Campers.
  • Driving on unsealed and gravel roads is permitted, but extreme off-roading is prohibited.

4.2 Prohibited Activities

  • No off-road driving beyond maintained dirt or gravel roads, no racing, or reckless driving.
  • No smoking inside the vehicle; a ₱5,000 penalty applies if violated.
  • No subleasing or commercial use, including but not limited to ride-sharing, food delivery, or passenger transport.
  • No crossing international borders; rental use is restricted to the Philippines.
  • No unauthorized inter-island transport of the vehicle unless prior written approval is obtained.
  • The renter must not attempt river crossings, deep water driving, or any activity that could cause damage due to negligence.

5. Insurance & Liability

5.1 Coverage

Each rental includes:

  • Basic insurance covering accidents, theft, and third-party liability (deductible applies).
  • Roadside assistance for mechanical breakdowns.
  • Unsealed roads are covered in all insurance plans.
  • Optional Starlink Internet available for ₱500 per day.

Insurance Upgrade Options:

  • Basic Insurance (included) – Higher deductible, does not cover minor damages.
  • Standard Insurance – Lower deductible, includes windshield and tire damage.
  • Premium Insurance – No deductible, covers all minor damages and scratches.

Minor Scratches Policy:

  • Small scratches from branches or regular off-road driving are not charged.
  • Deep scratches requiring repainting or panel replacement may incur repair costs unless covered by Standard or Premium Insurance.

5.2 Renter’s Responsibility

  • Damages up to ₱20,000 are covered by the security deposit.
  • If damages exceed ₱20,000, the renter must pay the difference or file an insurance claim.
  • Negligence-related damages (e.g., driving through floods, reckless off-road misuse) are fully the renter’s liability, regardless of insurance coverage.

5.3 Accident & Breakdown Procedures

In case of an accident:

  • Contact Philippine Campers immediately.
  • File a police report within 24 hours.
  • Do not repair the vehicle yourself—unauthorized repairs will not be reimbursed.

In case of a breakdown:

  • Call roadside assistance (provided at rental start).
  • If the issue is mechanical, we will arrange for repair or replacement.
  • If the issue is due to misuse (e.g., off-road damage, flooded engine), repair costs are fully the renter’s responsibility.

5.5 Liability Waiver & Assumption of Risk

By renting a vehicle from Philippine Campers, the renter acknowledges and accepts the following liability terms:

  • Third-Party Incidents: Philippine Campers is not responsible for any injuries, fatalities, or damages caused by third parties, including but not limited to other drivers, pedestrians, animals, or external factors such as road conditions, weather events, or acts of crime.

  • Personal Injury & Death: Philippine Campers shall not be held liable for any personal injury, disability, or death resulting from accidents, reckless driving, third-party negligence, natural disasters, or any other unforeseen events during the rental period.

  • Off-Road and Hazardous Driving Conditions: Renters assume full responsibility for their safety when driving on gravel roads, mountain passes, unsealed roads, or during extreme weather conditions. Any damages incurred due to negligence in these conditions are the sole responsibility of the renter.

  • Vehicle Security & Theft: Renters are responsible for the safety and security of the vehicle. Philippine Campers is not liable for personal property loss, theft, or damage while the vehicle is in the renter’s possession.

  • Mechanical Failures & Delays: While Philippine Campers ensures that all vehicles are in good working condition, the company is not responsible for delays, financial losses, or personal inconveniences caused by unexpected mechanical failures, flat tires, or third-party roadside assistance delays.

  • Medical Emergencies: Renters acknowledge that they are responsible for their own health, safety, and medical expenses. Philippine Campers does not provide medical coverage in case of injury or illness during the rental period.

5.5 Renter’s Agreement

By signing the rental agreement, the renter acknowledges that:

  • They assume all risks associated with vehicle operation and travel.

  • They have valid travel insurance to cover personal injury, medical emergencies, and third-party liabilities.

  • Philippine Campers is released from all liability for incidents beyond its direct control.

 

6. Traffic Violations, Road Tolls, Fines & Missing Equipment

6.1 Traffic Fines & Speeding Tickets

  • The renter is fully responsible for any traffic violations, speeding tickets, parking fines, or toll violations incurred during the rental period.
  • If a fine is issued after the rental has ended, we will notify the renter, and payment must be made within 7 days.
  • If the fine is unpaid, the amount will be deducted from the security deposit, and an administrative fee of ₱1,500 will apply.
  • Any disputes regarding traffic violations must be resolved directly by the renter with the issuing authority.

6.2 Road Tolls

  • The renter is responsible for paying all toll fees, including but not limited to NLEX, SLEX, TPLEX, and Skyway.
  • Some vehicles may be equipped with an RFID Toll Payment System. The renter must check the balance and reload the RFID card before use.
  • If tolls remain unpaid, Philippine Campers will charge the renter for the outstanding amount plus an administrative fee of ₱800.
  • If an insufficient balance results in a violation, the renter is responsible for any penalties issued by the toll authority.

6.3 Missing Equipment & Loss Policy

  • The renter is responsible for returning all equipment included with the vehicle in the same condition as received, excluding normal wear and tear.
  • Missing, damaged, or stolen items will be charged at the replacement cost listed in the rental inventory.

Exclusions:

  • Normal wear and tear (e.g., minor scratches on cookware, slight discoloration of equipment) will not be charged.
  • Expected degradation of frequently used items (e.g., soft mattress compression, fading of seat covers) is not considered damage.

Standard Equipment Checklist includes (but is not limited to):

  • Camping Gear: Rooftop tent, ladder, chairs, table, cooking stove, and utensils.
  • Power & Navigation: Jackery power station, GPS device (if included), portable fridge.
  • Emergency Tools: Tire repair kit, first-aid kit, flashlight, multi-tool.

Loss or Damage Charges:

  • Minor lost/damaged items (e.g., utensils, small accessories) – Charged at replacement cost.
  • Major lost/damaged items (e.g., GPS, Jackery, rooftop tent) – Charged at full retail replacement price.
  • Security deposit may be partially or fully withheld until missing equipment is accounted for.

🚫 Excluded from coverage:

  • Intentional damage, theft due to negligence, or unauthorized modifications (e.g., drilling holes in the vehicle, breaking equipment through misuse).
  • Unreported loss or theft will result in a full charge for replacement.

7. Internet Usage Policy

If the Starlink Internet add-on is booked, the renter agrees to use the service responsibly and in compliance with Philippine laws, international regulations, and Starlink’s Fair Usage Policy.


7.1 Service Limitations & Connectivity

  • Starlink coverage is subject to network congestion, weather conditions, and geographic location.
  • Limited connectivity may occur in remote areas, mountainous regions, or during extreme weather.
  • Refunds will not be issued for temporary service disruptions beyond Philippine Campers’ control.
  • Philippine Campers does not guarantee high-speed connectivity in all locations at all times.

7.2 Acceptable Use

Renters may use the internet connection for:

  • Streaming movies, music, and shows responsibly (e.g., watching a movie at a beach, casual streaming).
  • GPS navigation, travel research, and communication.
  • Remote work, including emails, calls, browsing, and moderate video conferencing.
  • Social media uploads and messaging apps.

Fair Use Applies – Streaming and video calls are allowed, but renters should avoid excessive high-definition downloads or prolonged high-bandwidth activities that may slow the network.


7.3 Prohibited Activities

The renter must not use the internet connection for:

  • Downloading or distributing copyrighted content illegally.
  • Hacking, unauthorized access to systems, or any form of cybercrime.
  • Fraudulent transactions, identity theft, or phishing scams.
  • Excessive bandwidth consumption through continuous large downloads or extended high-data streaming.
  • Hosting illegal content or engaging in activities that violate Philippine law or Starlink’s Fair Usage Policy.

7.4 Consequences of Misuse

  • Starlink will be disconnected immediately if illegal activities or excessive misuse are detected.
  • Renters may be charged a ₱3,000 service restoration fee if their misuse results in account suspension or penalties from Starlink.
  • In cases of serious misuse, the full security deposit may be withheld, and Philippine Campers reserves the right to deny future rentals.

8. Privacy Policy & Data Protection

By using our services, you agree to our Privacy Policy.

  • We collect personal data (name, contact details, booking information) strictly for reservation, rental management, and customer support purposes.
  • We do not sell or share your data with third parties for marketing purposes.
  • Personal data may be shared only when required for:
    • Insurance claims
    • Legal compliance
    • Fraud prevention
    • Law enforcement requests
  • We use cookies and analytics tools to improve the website experience. You may disable cookies in your browser settings, but this may affect website functionality.
  • Personal data is securely stored and retained only for as long as necessary for business operations, legal compliance, or dispute resolution.
  • Renters may request deletion of their personal data after the rental period by contacting Philippine Campers.

9. Dispute Resolution & Legal Compliance

  • Any disputes must first be resolved through mediation, facilitated by a neutral third party or arbitration service, as agreed upon by both parties.
  • If mediation fails, legal disputes will be handled in the courts of Manila, Philippines under applicable Philippine laws.
  • If a renter is found liable for damages, negligence, or contract violations, they may be responsible for covering legal costs incurred by Philippine Campers.

10. Vehicle GPS Tracking & Privacy

Our vehicles are equipped with GPS tracking for security, fleet management, and theft prevention.

  • By renting a vehicle from Philippine Campers, you agree that location data may be collected during your rental period.
  • GPS data is used strictly for:
    • Monitoring vehicle location for safety & recovery
    • Preventing unauthorized use or restricted area violations
    • Providing assistance in case of an emergency or theft
  • GPS data is not shared with third parties unless required by law enforcement, insurance providers, or theft recovery.
  • GPS data is stored securely and deleted after 30 days, unless required for dispute resolution or legal claims.
  • Renters may request access to their GPS data logs within 30 days of the rental period for transparency.

Misuse Policy

  • Tampering with or disabling the GPS system is a violation of the rental agreement and may result in fines or immediate contract termination.
  • Any deliberate removal, modification, or obstruction of GPS tracking will be considered a breach of contract, and Philippine Campers reserves the right to take legal action if necessary.
